HYC VIRTUAL BOARD MEETING – March 8, 2021

  • General Discussion/Business:
    • Lacrosse
      • Tara reported girls’ games start on 3/19.  Practice started last week and it is going well.  We had 105 boys last year and this year we have 117.  Last year was first year for girls’ lacrosse with 79 girls and now we have 150 girls. We have 267 total lacrosse players. The teams are large and we have had volunteers for assistant coaches, but not as many volunteers for head coach. Some coaches are the head coach for multiple teams.  We have increased expenses for goalie gear because we have more teams.  We have offered free registration for the scoopers and sticklets, and next year we may need to ask $30 to cover insurance or go back to USA lacrosse insurance,
      • Candice reported it’s a big expense as a parent to pay for the equipment, and the little kids will build our program.  We have 40 scoopers and 25 stickletts that we are insuring. We could do a raffle fee with registration so people could recoup their money, or a Superbowl pool.
      • Discussed doing another 5k but you need to schedule it in between boys and girls games, or maybe before the season begins.
      • Coaches shirts are ordered and delivered, uniforms are not in yet, and we have not received an invoice yet. The team store made about $700 and it can be applied to the invoice.
      • Sean asked about league expenses, but some fees are not paid until the end of the season for the girls. SMYLA has not discussed fees yet.
      • Last year the home field at HHP was 17, and girls will get home games this year. We also have fields 14 and 15 so 8u and 10u can play there,
      • The HYC teams will have to play each other in their division because we have two teams in each division.
      • Mike reported that goals at CSM are not getting locked up and he has asked them to get locked after practices.  
      • Candice asked if we are going to try and do a youth night at the high school.
      • Discussed end of year party for lacrosse or special event for them- going to college game or PLL but PLL.
      • The game schedule for the boys is not released yet but it will begin April 2
      • Lax yard signs will be a fundraiser and carnations for Mother’s Day fundraiser
    • Football
      • The prices will remain the same
      • We have 75% of equipment turned back in.
      • Discussed whether registration can be set up differently to get payment quickly. Sean said we do not want to turn people away, and most families paid by the end of the year.  Ara reported that the uniform is what we are out of pocket for, and we can take out their raffle money.
      • Sean reported he would get cash from people on the field, and he can track people down this fall for payment if needed.
    • Cheer
      • Discussed cheer uniforms because the ones we have are not very versatile for different sizes, and we need to see what middle or larger sizes we need for the upcoming season.  Shannon thinks we may need to order about thirty more uniforms.
      • Discussed whether we open it up as an option to purchase cheer uniforms that can be used for multiple seasons.
      • Cheer uniforms take six weeks for delivery because it’s a custom uniform
      • Tara reported it may be too hard to add the uniform option for cheer registration
      • Discussed that parents sign a cheer uniform agreement- you agree  to return it at the end of the season or it costs $110. We don’t do this for football.
      • Discussed that an invoice was sent to the family who has not returned the cheer uniform.
      • SMYAC has a rule that if you sign up with another club you need to return equipment from the prior club.
      • Shannon reported she can ask at the Parks and Rec meeting about people returning uniforms.  
      • Discussed show case for cheerleaders and hopefully they can do a competition this year.  Discussed that families enjoyed the showcase and it allows the girls to watch each other perform.  
      • Hopefully we will have a pep rally this year.
      • Sean reported there is a referee meeting Sunday.
      • SMYAC meeting on 3/23 in LA Plata and a rules meeting is 3/12
